Sending invitations via email

    While I know it is not the Ms. Manners thing to do, and wonder when the electronic version of Ms. Manners will come out for today's generation, boy could some folks use it!  To save costs, have any of you gone to sending invitations to volunteer events through Volgistics email?

    We already distribute our newsletters and important information that way, but have not done invitations.  If you have, was your response the same?  How did your volunteers feel about it?  Did you take RSVPs from reply or did you ask them to call?

    I will use Volgistics to send out a communication about events, but it is only one avenue of communication since only about 50% of my volunteers have e-mail. However, I will frequent send reminders via VicTouch since 99% at least see that.

    But a "formal" invitation is always mailed out.

    "Informal" events may simply be posted on the bulletin board.

    Thanks, as I stated we would never send a formal invitation by email. However, we are going to send an event invitation by email for the first time.  97% of our volunteers have email addresses, so we are going to send the invite out and request an email RSVP.  Of course we will mail to those who don't have email addresses.

    Once the event has happened, I will post the response rate of email invite vs. postal mail last year.

    Hope the Myrtle Beach conference is a blast, wish I could be there.

    Our volunteers beg for less US mail on a regular.  We use Volgistics for requests for special assistance, invitations, newsletter links, compliance reminders, etc.  There are very few who opt out or who do not have e-mail.  For formal system based functions, PR or the Foundation will mail out information and invitations. 

    We will monitor satisfaction through our annual surveys and daily feedback.  Flexibility and responsiveness in managing communications is something that I think we are all pros at doing.

    As a follow-up, we had a slightly better response rate to the email invitation than we did to the postal mail one the previous year.  We were worried that our "senior" volunteers might not respond, but as a percentage that group was higher than the younger sets.
