Money/Credit on Volunteer Badges

    It seems like I remember hearing at the SHVL conference that some of you load money or credit on your Volunteer badges for meals or special recognition. If so, what department(s) (HR, Accounting, or Payroll) do you work with to do this?

    Are you referring to meals (or snacks) from the cafeteria or café on hospital campus?  If so...we do.  

    Our volunteers are able to use up to $6 daily (on the days the volunteer, volunteers) at our cafeteria or café in the hospital.  Our name badges are utilized like a debit (gift card) card.  When the volunteer checks out with their meal or snack, the volunteer hands the cashier their badge instead of money. 

    When a new volunteer is on-boarded and receives name badge I send the number (each badge has a 4 digit) to the Director of Dietary.  The Director of Dietary imputs the number into the system to cap daily at $6. 

    Where does the money come from?  The money is then charged to my budget.  This is one of my largest expenses in my budget. 

    FYI:  the volunteer does not receive change if they do not use the full $6.  The money does not roll over, it is $6 a day each day the individual volunteers!  

    Our system is set up for employees too.  So for example, I can dine and spend whatever I want on cafeteria or café food daily. However, the payment comes directly out of my paycheck.

    We have been using this system for about 8-9 years.  Prior to this I gave the volunteers a card daily.  The card was the size of a business card, had my signature and budget number.  The volunteer handed the card to the cashier and noted the amount spent (also not to exceed the daily amount).  If your hospital is not set up for a badge system this too is an easy option.

    Thanks, Christina! We are setup for a payroll deduct option (team members) and have badge numbers as well. I was curious to see what department actually loads the credit on the Volunteer badge, so knowing that your dietary department does that helps. Thank you!!
