order for volunteer intake

    Can you tell me what order you do the following tasks:

    Application

    Orientation

    Background Check

    Health Appraisal

    Photo ID

    Assignment/Placement

    Primarily I want to see when others do the health appraisal and background check – before or after orientation/ before or after assignment?

    Online application, online orientation, interview (at which a placement is made dependent on outcome of rest of requirements). Background check, administering health test.

    application online or paper

    apt for interview/tour - background ck form completed at this time and placed in folder until AFTER orientation is completed and returned.  while candidate is filling out background ck form on site; i prepare 2 letters of ref to go out snail mail.

    orientation packet given for review and signatures which contains health assessment/PPD documents

    candidate makes own appts for health assessment and PPD's with employee/occupational health.  Employee health gives candidate back completed documents to turn into volunteer services and also scan's them to DVS (working on this piece as the health assessment process is new for us).

    once orientation packet is returned background ck is submitted.

    a second appt is made to do position placement; schedule first day volunteering; purchase uniform shirt and go to HR to obtain an ID badge.

    I try to meet every new volunteer on their first day to get them signed in and take them to their assigned area to introduce them to staff, turn them over to someone for training, etc.

    i have set up a check list so i don't forget any of the steps......when we handle so many applicants with multiple moving parts it is easy to overlook details.  the check list is very helpful.

    Background and drug screening are done after the interview if i want to offer to them. I don't so anything until they pass.

    1) Online Application

    2) Immunizations Submitted

    3) Online Orientation

    4)Mass interviews - includes Photo made for ID, TB Test, Drug Screening onsite, Electronically sign up for background check, interview and placement (depending on passing drug screening and background check).

    As a children's hospital we designed the order to "weed out" those who just saw something on TV and wanted to come help out.  That is why we put things up front.  However, if you apply and follow-up at the right time, you could go through the process in as little as 3 days or if you miss the mass interview day by applying the next day, you will complete in no more than 30 days.  We hold a mass interview day once a month and average 45 individuals going through each month.

    Hi Patty,
    We receive the application, complete two reference checks, invite (or not) applicant for personal interview. If moving forward, they receive "onboarding" packet which includes all documents that need to be signed and orientation booklet (we do NOT do a classroom orientation session any longer), TB forms, and we send the link for criminal background check. Once everything is returned, if there are no problems/concerns, we move forward with their "start day" and the new volunteer begins their hands-on training. Happy onboarding, Christine
