Email/E-cards for Patients

    Good morning!

    Does anyone use a system that allows family/friends to email patients?

    I understand some hospitals have a mechanism where family/friends can submit e-cards or similar online and then the volunteer office prints for volunteers to deliver.  Would love to learn more, especially for patients who are unable to have visitors!

    Katie, We have had Care Cards for years.  Take a look at the options that are available on our website

    Once a card is submitted the person submitting receives an automatic reply.  Then:

    • Monday - Friday our Mail and Flower volunteers (or in some locations our office volunteers) check the Care Card emailbox between about 10am and 3pm daily.  
    • They check to see if the patient is at the hospital where they are physically located
    • If yes, they print on a higher grade paper (we tested quite a few - is heavier than copy paper but not card stock)
    • They are tri-folded, and we put a sticker on them and write the patient name and room number on the outside
    • Volunteers then deliver
    • If the patient is not there/been discharged - the volunteer has the ability within the email to send an automatically generated message to the sender letting them know it was undeliverable.

    Jenelen - Is Care Cards a service your hospital subscribes to or was this developed by your marketing dept.?  I also see some hospitals use Cheer Cards.  If yours is a vendor, would you mind sharing contact information?

     We have a very simple patient email mechanism, but I would love to see something like this!  Thank you for sharing

    Our Care Cards have an interesting back story.  We have had them for a very long time but in the beginning we only had a couple of choices.  Our Mail and Flower volunteers would encourage us to expand the choices and make suggestions.  We would talk with Marketing and they would agree (they designed the original ones), but then they could never find the time or the money.

    The daughter of one of our Mail & Flower volunteers happened to own/run a design firm.  This volunteer's granddaughter (the daughter of the design firm owner) also volunteered in the summer as a Mail and Flower volunteer.  The two of them hatched a plan to strong arm the woman in the middle into donating new designs.  And it worked!

    The design firm met with us to understand our process and our needs, and the result is that great variety of designs and messages.  Then then worked with our Marketing and PR to ensure it all worked with our branding and our website.  That has now been about 6 years ago.

    Long story to tell you - not a service that we purchased.
