One-Time Group Volunteers

    I am working to develop some parameters/processes for one-time group volunteers. We've not previously engaged with one-off volunteering, but I'm seeing more requests from our community partners for opportunities to serve the health system as a group. 

    Does anyone allow one-time groups? What types of activities do they support? How do you on-board them? I would love to hear what others do. TIA!

    Hi Libby,

    We typically use one-time group volunteers for 2 functions: 

    - offsite projects, like treat bags for patients/staff or Courage Cards for patients

    - onsite events for patients & families, like bingo parties, ice cream socials, etc.

    We do not onboard them like traditional volunteers since they're only here one time, and a staff member is always present if they're onsite. We do go over HIPAA, especially since many of them want to take pictures during an event.

    The only group opportunities we offer is in Child Life and we forward those requests to our Child Life Assistants and they coordinate the visit. The other area is folks come in as groups to cook a meal for our guests at our hospitality house, but again they coordinate the visits.

    We do not onboard episodic volunteers.  Nor do I onboard my "group/community" volunteers.

    In some instances, we have episodic volunteers.  (many times college students) I have the "old" HIPPA hard copy of the do's & don't.   I have them read then sign a confidentiality statement.  We also have several outside groups (via the Foundation) that help with packing our Smart Snacks -  they are isolated away from patients; come pack and leave.  A staff member is always present; therefore, we do not vet them.

    For group community it is more about gathering contact information for the formal "thank you".
