Records Retention

    How long do you retain records for the following:

    - Teen Programs (educational)

    - Pet Therapy (visit info, etc..)

    -Performance Improvement materials

    We keep the entire volunteer file for 6 years after their last day of service.  Then we delete everything.

    Our privacy office sets the records retention policy and we must maintain all records for 8 years. From what I've been told, that's the length of time eligible for lawsuits.

    Record Retention: 

    a)      Records will be kept for a minimum of 3 years from the volunteer’s last date of service. Most records are kept in excess of this timeframe for historical purposes of the department/ organization.

    b)      If a volunteer does not begin services, records may be discarded after three months from first encounter.

    Our department keeps all volunteer records for 6 years.  After six years they are deleted or destroyed.
