While there is no official health system policy regarding such, there is an understanding between all departments who might be involved - volunteer services, child life, foundation, etc. We have an official Santa who comes at certain times, and use another Santa for one event. Otherwise it would be very confusing to the children if there was more than one Santa in the building.
Infection control and such, really plays a major part in this. By having an official Santa and Elves (they are our clowns) they understand all Joint Commission requirements. One elf serves as Santa's hand cleaner as well as the kids wanting their picture made.
Also all performance groups are in the lobby. This also helps us keep the units quiet so the patients can rest. All groups are scheduled by one person, so there is no overbooking there. Child Life also has events going on that are coordinated on a weekly calendar.
