ID BADGE RETURN

    What is your process in the effort to ensure Volunteer ID Badges are returned upon termination of service?  Do you charge them a fee if they do not return their hospital issued ID badge?

    Currently, I send a formal thank you letter for their service with a statement: "as per security policy, your ID badge must be returned.  Enclosed please find a postage paid return envelope..... "

    Carol,

    Our first step is to ask the volunteer to turn in the badge on the last day of service.  Second is a letter like you.  When we inactivate a volunteer, we also inactivate the ID badge, so the person can't get into the parking deck, can't get into units, etc.

    Could the person walk around the public areas wearing the name badge?  Yes.  Can the person get anywhere else, no.  Badges must be coded to enter patient areas.  Same goes for visitor badges.

    We have security at the elevator lobbies to patient floors checking for badges.  Not that someone with a badge couldn't get to the family area on the floor, but wouldn't be able to get into the unit.

    Besides, we have to trust the former volunteer to do the right thing.  With us, being beside the university campus, it is more about college students trying to park for free than anything else.  When the badge won't allow access to the parking garage, that is usually it.

    We ask for the photo ID badge on the last day of service also.  If we do not see the volunteer, we email them and ask them to return their badge.  We also immediately contact Security to inactive their badge access.

    We basically do the same as Frank and Cindy - collecting it on the last day, if the person actually gives notice, or notifying security to deactivate it if they don't. I will also let people know they can drop it off in our gift shop if they can't get to our office during business hours, since the gift shop is open until 8pm and it's open on the weekends.
