Gift Shop Finances - who handles what

    If you have a paid shop manager or DVS with managerial oversight in your gift shop, please share how your shop finances are handled. What person (title) or department pays invoices, bills customers, works up deposits, makes deposits, pays taxes, etc?  If handled by multiple people, please list who is responsible for what.  Many thanks!

    Our Auxiliary Treasurer makes the deposits for the Gift Shop and the Auxiliary Bookkeeper pays all invoices and completes all tax forms for our Gift Shop. They are both paid by the Auxiliary.

    We had a paid bookkeper for the shop until 2 years ago.  This responsibility was turned over to University Physicians Association.  They handle all the Physicians' office buildings etc. They are paid for this service from Gift Shop Revenue.

    We have a gift shop manager and a records & reports manager both of whom are paid by Volunteer Services.  The gift shop mgr receives all invoices, confirms receipt of merchandise and turns over to the r&r mgr. The r&r mgr pays invoices, balances the checkbook, prepares all financial reports and handles any collections from customers. Deposits are made by another member of the Volunteer Services staff so there's not one individual solely responsible for the money.  We have an independent auditor who prepares our tax returns.

    Our paid shop supervisor or her paid assistant do the daily deposits and also fax the payroll sheets to our payroll department.  Every Tuesday, our shop supervisor prepares all bills to be paid for the gift shop volunteer treasurer to pay on Wednesdays.  Once a month, she prints out the sales tax information for him to pay.

    We have a Treasury Team; three volunteers who handle the finances.  One receives all the requests and approves/writes checks, one who then checks his work and countersigns the checks and another who makes the deposits from the shop.

    I do the monthly reporting to the facility accounting department.

    Gift shop is managed by the Auxiliary President.  Daily deposits are calculated by the volunteers who work in the gift shop and recorded on forms provided.  The evening shift drops money into a night drop box in our facility.  The accounting, taxes, invoices, A/P, A/R are done by the Auxiliary treasurer.  All checks are double signed.  Buying for the gift shop is done by volunteers who work in the gift shop of which the over sight is done by the president.
